The In-Flight Services Administrator provides high-level administrative support to the In-Flight Services department. Acting as the first point of contact for general inquiries, this role is critical in maintaining operational efficiency, managing documentation, coordinating recruitment and onboarding, and supporting regulatory and safety compliance.
Duties & Responsibilities- Act as the initial point of contact regarding general inquiries for In-Flight Services
- Provide day-to-day administrative and logistical support for the In-Flight Services department
- Liaise with departments across the organization to coordinate matters related to flight operations and crew support
- Maintain accurate and current documentation related to aircraft, crew and inflight operations
- Review, process, action, and administer all flight reports, initiating departmental follow-ups as required
- Assist in the maintenance of technical files, training records and security documentation in accordance with Transport Canada regulations
- Support the Supervisor, Inflight Recruitment, with coordinating onboarding and recruitment tasks for new hires by preparing and organizing new hire documentation
- Support the Manager, Regulatory Training Standards in the maintenance of cabin crew training records
- Support reporting and investigation of flight attendant accidents, injuries, WSIB claims, and AOSH hazard occurrences
- Maintain and track leave of absence records, ensuring accuracy and confidentiality
- Respond to inquiries from crew members regarding uniforms, passports, aircraft supplies, and administrative concerns
- Coordinate departmental meetings, including agenda preparation, minute-taking, and follow-up on action items
- Organize internal events and training sessions as required
- Support internal communications and documentation, including committee meeting coordination
- Manage inventory and restocking of in-flight administrative supplies and uniform items
- Ensure strict confidentiality of employee and operational data, adhering to internal privacy and data handling policies
- Participate actively in Porter’s Safety Management System (SMS), including hazard identification, incident reporting, investigations, and audits
- Perform other related duties as assigned

Qualifications
- Minimum of 2 years of experience in an administrative support role, preferably in aviation
- Understanding of flight crew working environment
- Demonstrated ability to support compliance, safety, and regulatory processes
- High degree of accuracy and attention to detail
- Ability to work well under pressure, meet deadlines, multitask and set priorities
- Strong interpersonal skills
- Dependability (must have a clear attendance record and reliable on-time reporting for work)
- Excellent verbal and written communication skills
- Exceptional time management and organizational skills
- Ability to work independently and within a team environment
- Strong customer service skills, discretion, flexibility and a professional demeanour
- Proficiency in Microsoft Office & Google Suite, general computer and database software knowledge
- Ability to obtain all necessary airport security clearances
