Position Objective: To provide comprehensive management and leadership across all three Meds by Mail (MbM) facilities (Dublin, GA; Cheyenne, WY; Murfreesboro, TN), ensuring efficient operations, adherence to VA regulations, effective human resource management, and the delivery of high-quality prescription processing services. The Facility Administrator will oversee all contractor personnel, manage business operations, implement policies, and drive continuous improvement initiatives. The Facility Administrator must be reachable during all operational hours and is responsible for ensuring the smooth and efficient operation of all three MbM facilities. This position is critical to the success of the MbM program and the delivery of high-quality services to Veterans.
Operational Hours: Available during all MbM operational hours (7:00 AM - 7:30 PM local time, Monday through Friday).
Duties and Responsibilities:
- Provide leadership and direction to all contract personnel across the three MbM facilities.
- Oversee daily business operations, ensuring efficient workflow, resource allocation, and adherence to production schedules.
- Manage human resource functions, including onboarding, training, performance management, and conflict resolution.
- Ensure compliance with all VA regulations, policies, and procedures, including those related to cybersecurity, privacy, and quality assurance.
- Implement and monitor quality control programs to identify and prevent errors in prescription processing and other services.
- Develop and maintain effective communication channels with VA personnel, contractor staff, and executive leadership.
- Oversee the implementation of new processes, technologies, and automation initiatives.
- Analyze performance data to identify trends, track progress, and recommend improvements.
- Develop and manage facility budgets, ensuring cost-effectiveness and financial accountability.
- Serve as the primary point of contact for all facility-related issues, including personnel, operations, and compliance.
- Review Monthly Schedule and make appropriate adjustments to meet the business needs
Basic Qualifications:
- Six Sigma certification at or above the Green Belt level, OR Project Management Professional (PMP) certification.
- Minimum of five (5) years of work experience which reflects on-site managerial and leadership abilities of more than 30 personnel.
- Ability to travel to all three MbM facilities as needed.
- Demonstrated experience in business operations, project management, and human resources.
- Strong understanding of healthcare operations and regulatory requirements.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint).
Minimum Qualifications:
- Experience working with VA or other government healthcare organizations.
- Familiarity with pharmacy operations and prescription processing workflows.
- Knowledge of quality assurance and process improvement methodologies.
- Experience managing remote teams and virtual work environments.
- Demonstrated ability to drive change and implement new initiatives.
- Ability to work independently and manage multiple priorities.
- Excellent communication, interpersonal, and leadership skills.
